PB ProdBord

Know where every order is up to.
Wherever it came from.

ProdBord is a production board for small businesses that make what they sell. Shopify orders, Etsy orders and the jobs you take on by email or at a market go on one board, in the stages you work in, with their due dates.

Some orders are in Shopify, some are on Etsy, a commission is sitting in your inbox and the rest are on a list by the bench. Sooner or later one gets missed.

Every job on one board, in the stage it has reached. ProdBord flags late jobs and overloaded stages against limits you set.

Shopify, Etsy, and the orders that come any other way.

New Shopify orders come in on their own. Etsy orders come in on their own too if you sign up directly; through Shopify, you bring them in with one click. Each one waits in Order intake, with its options and personalisation, until you choose Add to Production board. If you use ProdBord through Shopify, you can also set rules that add matching orders to the board for you.

Commissions, wholesale runs, repairs and market stock don’t come through a shop. Add them as a job straight onto the board, with a reference so you know who each one is for.

ProdBord reads your Shopify and Etsy orders. It never changes them.

Order intake in ProdBord: an Etsy order for a personalised name board and a Shopify order for a walnut chopping board and board oil, both awaiting review, each with an Add to Production board button.
The Add a job form: job title 'Commission: oak bench', reference 'Email from J. Ellis', quantity, board, starting stage, priority and an optional due date.

See which stage is holding everything up.

Give each stage a capacity, the number of jobs it can handle at once, and a target time, how long a job should spend there. ProdBord checks every stage against both.

A stage holding more jobs than its capacity is marked Bottleneck. A job that has been in a stage longer than its target is marked Late.

Workflow settings for the Design stage: target time 48 hours, capacity 4 jobs.
The limits for the Design stage, set in Workflow settings. Change them whenever you like.
The production board with six stages.
The Design stage: target 2 days, capacity 6/4, flagged Bottleneck, over capacity. Its first two jobs show 4 days and 3 days in stage, both marked late.

Reading the Design stage: it can take 4 jobs and has 6, so it shows Capacity 6/4 and Bottleneck. Its target is 2 days, and two jobs have been there for 3 and 4 days, so both are marked late.

One order, from arriving to finished.

Shopify order #1058 in Order intake: an engraved oak serving board for Jess Morgan, engraving 'Happy anniversary', awaiting review with an Add to Production board button.
The order arrives. Shopify order #1058, an engraved oak serving board, waits in Order intake with the engraving text attached. Add it to the board when you’re ready to make it.

It moves through your stages. Move the job on as the work progresses. Here it has reached Making, with a due date of 9 October.
Job #1058 in the Completed list: Completed, kept until 1 November, last stage Shipped.
It’s finished. Choose Mark completed and the job moves to Completed, where it is kept for 30 days. ProdBord doesn’t fulfil the order in Shopify or Etsy; you still do that there.

The ProdBord calendar for October 2026: 16 jobs due this month, 2 overdue, 0 unscheduled, with Shopify, Etsy and manual jobs placed on their due dates.

Know what’s due this week.

Give a job a due date when you add it, or later. The calendar shows every dated job by day, and overdue work stays flagged until it’s done.

Jobs without a date are listed separately, so nothing sits on the board undated without you noticing.

On the board, Urgent work shows only what is overdue, due today or marked high priority.

Start with stages that suit what you make.

Pick one of six templates or build your stages from scratch, then rename, add and reorder them whenever you need to. Run separate boards for separate product lines.
